Saturday evening is the busiest slot on the Los Angeles event calendar, and it is the one that fills first. No bartending company can promise a specific date is open. What can be said plainly: a date is only held once it is paid for in full, holiday dates add 50 percent to staff cost, and booking inside 48 hours adds a 20 percent rush surcharge.

Why Saturday evening carries the load

Weddings, birthdays, bachelor and bachelorette parties, pool parties and product launches all want the same window, roughly 5pm to 11pm on a Saturday. All of them need staff at the same hour, and a bartender can only be in one place. Staffing scales with guests as well: one bartender per 50 guests, with a second recommended at medium consumption, 3 to 4 drinks per guest, or heavy, 6 or more. A 150 guest wedding is asking for three bartenders in the same slot as everyone else.

Bigger events pull more roles out of the same pool. A banquet captain at $90 an hour, servers, hosts and barbacks at $70, security at $85, a DJ at $185 an hour. The larger the team, the more people have to be free on one evening.

How far ahead weekend dates tend to go

Sunday afternoons, Friday evenings and midweek corporate events sit outside the Saturday crush. Pricing does not change: a bartender is $70 an hour with a 4 hour minimum and a $100 service charge, so 4 x $70 = $280 plus $100 is $380 on a Tuesday or a Saturday. What changes is how many combinations of staff are workable on that day.

Holiday weekends

Recognised holiday dates carry a 50 percent addition to staff cost. On two bartenders and a barback for 5 hours, that is 3 x 5 x $70 = $1,050 in staff, plus $525 holiday, so $1,575 before the $300 in service charges. Holiday weekends are also among the tightest dates on the calendar.
